Every team starts the same way. A shared list, then a board with a few columns. For a while it works. Then the work gets bigger, deadlines start to depend on each other, two people quietly overcommit the same week, and something ships before the right person signed it off. The checklist did not fail you. You simply outgrew it.
Real project management is the set of tools you reach for once a checklist stops being enough. Here is what those tools are, and when each one actually earns its place.
Boards and lists: the daily work
A board is the right view for work in flight. Cards move across stages, everyone sees the state of play at a glance, and nothing needs explaining. A list is the same work for people who think in rows, grouped by status or owner, sorted and filtered, edited in place. Neither is wrong, and you should not have to pick one for the whole team.

Approvals: the step most tools skip
Most project tools can mark a task done. Far fewer can stop a task being marked done until the right people have signed it off. Yet that gate is exactly what separates a hobby project from professional delivery. The contract that needs legal, the design that needs a client, the release that needs an internal review.
